Enrolment to Group Activities
 

1. Register all your children on the system

  • Go to: Parent → Children Management → New

  • Add all your children's details as required.

 2. Enrol to activities

  • Go to: Subscribe to a Course and select the activity of  your choice from the list.

  • At the bottom of the screen, click on View and SubscribeRegister.

  • The "Register" button will be displayed until the activity is full. It will be replaced by a "Waiting List" button until the waiting list is also full.

The waiting list is automatically managed by the system and parents who are on the list will be contacted by email if a place becomes available. Please note that, upon receipt of this email (not before), if you want to validate your reservation you must pay for it within 24 hours, otherwise the place will be offered to the next person on the waiting list.

 3. Payment

  • Go to your Basket where you will find all your selected activities → Pay (you can only use VISA or MASTERCARD)

  • Once you have completed the enrolment process including payment for your selected activities, you will receive a confirmation email detailing your reservation(s).

 

Enrolment to Private Lessons

 

  1. Go to : Parent→ Private lessons→ View and Subscribe

  2. Choose an a lesson type, a day and the required lesson duration.  Eventhough you cannot specify exact exact timings, you can mention your preferences in the Comment field.

  3. Your request will automatically be sent to the monitor

  4. The monitor will reply to you by email and confirm his/her availability with the exact proposed lesson timing. 

  5. At this stage, you will receive a message to finalise the enrolment process by proceeding with your payment WITHIN 24 HOURS. All payments must be made online on our Periscolaire website using either a Visa or a Mastercard.

  6. Once your payment has been validated, you will receive a final confirmation with the details of your reservation.

Frequent Questions:

  • Q: I have already booked and paid for an activity for my child, and now I want to book accompaniment (as I have forgotten to do it,  or the option wasn't available at the time of booking)

    A: The accompaniment service is only available for some group activities (not private lessons) AND for Nursery children attending CPE. If your child meets all these conditions,  please check in the Activity screen (from the menu Parent/Subscribe to a course) if the accompaniment option is available. In this case, please send your request to "periscolaire@apeeel2.lu".
    If the option is on waiting list, it will be clearly indicated and you can register on this list, automatically managed by our system. If the option is not available at all, either the service is totally full or not available for this activity.

 

1. Description of the service

An APEEEL2 Coordinator or a Monitor will pick up the child at the indicated time at CPE, and will bring him/her back after the group activity (this service is not available for private lessons). Please note that due to limited resources, this service is only available for some of the group activities, not all of them.

 

2. Conditions to enrol

Due to a limited number of participants, the accompaniment service is ONLY available  if your child meets ALL THE BELOW CONDITIONS:

  1.  Your child attends CPE.
  2. Your child is in Nursery.
  3. Your child neeeds accompaniment for a group activity i.e. not a private lesson.

 

The cost of this service is 150 euros per schoolyear, per person, per activity.

 

  • The accompaniment option will ONLY be available within the activity screen if accessible. (at the bottom right hand side corner). Please remember that NOT ALL GROUP ACTIVITIES  offer the accompaniment service.
  • If the accompaniment option is only available on waiting list, this will be clearly indicated. 
  • If the accompaniment option is not available at all, either the service is full  (the waiting list is also full) or the chosen activity does not offer this service.

 

3. Reimbursement of the cost of the activity

If you have booked and paid for an activity offering the option for an accompaniment service, but you need to cancel your booking because you could not obtain any accompaniment for your child in Nursery attending CPE ( i.e. you are still on the waiting list, or the service is full), you are entitled to a refund of the cost of this activity. However, an administrative fee of 30 euros will be retained.

 

4. Authorisation from CPE

  • Please ensure you have the name of the CPE monitor and the room number where your child needs to be collected, as this information will need to be provided when arranging the necessay authorisations with CPE. 
  • It is the parents 'responsibility to arrange for all necessary authorisations with CPE in order for the child to be collected and returned to CPE.  Please go to the application E-KidREg https://webgate.ec.europa.eu/ekidreg/

    For any help or issues regarding the CPE website E-KidReg, please contact CPE directly as APEEEL2 has no access to their website and therefore cannot provide any assistance in obtaining the required authorisation. 


    You do not need to send us the authorisation from CPE, but please ensure you mention THE NAME OF THE CPE MONITOR + THE ROOM NUMBER where your child needs to be collected when reserving the accompaniment (in the activity screen).

DISCLAIMER FORM TO BE COMPLETED BY ALL PARENTS (except if an Accompaniment Service to/from CPE has been booked)

 

Q: Who should complete a Disclaimer Form?

A: All the parents who have NOT booked an Accompaniment Service from/to CPE for their child (please see conditions and enrolment procedure in the Accompaniment Service section in the FAQ menu). Parents who have booked an Accompaniment Service to/from CPE must not complete this form.

 

Q: Why do we ask parents to complete this form?

A: This form will enable the monitor to know how the child will be collected / leave the activity at the end of the lesson.

 

Q: Who should I send this form to once completed?

A: Parents are required to print 2 COPIES of the completed form : one for the monitor, to be handed out by their child on the 1st day of the course. The other one to be retained by the child and presented to the School Security Team upon leaving the activity.

Extracurricular activities General Conditions in Lux2

 

These activities are reserved for the children of the European School of Luxembourg II (and I).

A list of extracurricular activities for the current year can be found in the menu Parent/Subscribe to a course.

 

RULES

  • All pupils must observe the general school rules and behave in an appropriate manner during their participation in all extracurricular activities.
  • Food may only be consumed in places authorised by the School.
  • If an activity session is cancelled by APEEEL2 or by the monitor for any reason, the pupils will be notified in advance.
  • Personal information required for registration purposes will not be divulged by APEEEL2 without permission.
  • If a pupil is absent for his class, we kindly ask the parent to inform the monitor and APEEEL2 as soon as possible.
  • A minimum number of participants is required for each group activity. If this number is not reached, APEEEL2 reserves the right to cancel the activity.

 

 

ENROLMENT PROCEDURE

  • Enrolment is only available via the APEEEL2 extracurricular activities website  https://periscolaire.apeeel2.lu/
  • All payments must be made online by credit card. A confirmation will be sent to you by E-mail.
  • Once a course is full, a waiting list system operates. If a space subsequently becomes available, or if a duplicate course is opened, the parents who are on the waiting list will have priority for inscription.
  • If places are available, late inscription may be possible. In all such cases please contact the APEEEL2 secretariat. The fees may be prorated.

 

REIMBURSEMENT

  • Parents are kindly requested to explain the reason for the cancellation, to avoid having to be contacted later. This will determine whether a fee of 30 euros is applicable or not.
  • APEEEL2 reserves the right to modify the activities.
  • In case of a full and definitive cancellation of an activity by APEEEL2, the fees paid in advance will be fully refunded.
  • Reimbursement will only be possible at the latest after the first two sessions following the start of the activity; however, a fee of EUR 30 will be retained by APEEEL2 to cover administrative fees.
  • After this date, reimbursement will only be possible in exceptional cases and justified circumstances (e.g. medical certificate of long duration). A fee of EUR 30 will also be retained by APEEEL2 to cover administrative fees.
  • In case of a transfer from one activity to another, a fee of EUR 30 will be retained by APEEEL2.
  • If you have registered an paid for an activity without any accompaniment service because it was either on waiting list or not available at the time of booking the activity, you are entitled to a refund of the cost of this activity. However, an administratrive fee of 30 euros will be retained.
  • No refund will be made for occasional absences, either by pupils or monitors.
  • In the event of expulsion for misbehaviour, no refund will be made.
  • All reimbursements by APEEEL2, related to the start of activities, will take place by December 2018.

 

 

PRIVATE LESSONS

  • Lessons may only take place in the school.
  • Pupils are expected to bring their own instrument (except piano, percussion).
  • The possibility of external examinations should be seen with the monitor. A specific payment may be required.
  • Monitors will recommend appropriate music scores. These have to be purchased separately by the parents of the pupils.
  • If the monitor is absent, lessons should be recuperated according to mutual agreement between the monitor and the parent.
  • Except for duly certified medical reasons, a maximum of three absences are allowed per pupil/per class/per year. In the event of foreseeable absence by the pupil, please give 24 hours’ notice to the monitor and the APEEEL2 secretariat. No refund is possible: recuperation of the lesson is at the discretion of the monitor.
  • In the event of withdrawal by a pupil during a term, no refund will be made for that term unless there are exceptional and justified circumstances.
  • Provided a minimum of two weeks’ notice is given before the end of the term, the pupil is registered for next term and the fees are due to be paid..

 

 

HEALTH

  • Participating children are insured against accident under the School scheme.
  • In an emergency, course supervisors or APEEEL2. representatives will act in loco parentis.
  • Parents must inform APEEEL2 of all relevant health issues prior to registration. In certain circumstances, APEEEL2 reserves the right to refuse a registration.

 

 

SECURITY

  • APEEEL2 is not responsible for unsupervised pupils either before or after the activities and hereby declines all responsibility for unsupervised pupils.
  • For the duration of the activity session, the course supervisor assumes all responsibility for surveillance.
  • It is important that pupils arrive on time and are collected punctually at the end of the activity session.
  • To avoid inconveniencing other activities, children must not enter rooms early, or leave late.
  • Students must never enter the classrooms before the course supervisor arrives.
  • Parents must remain with their child until the course supervisor arrives.
  • During the activity session, parents are asked not to remain in the classroom where the activity is taking place.  Depending on the location of the activities some waiting areas may be in place.
  • Parents are requested to use the main entrance when entering and leaving the school and not to open/close other security doors. Parents must wear the parent badge when entering the school.
  • Valuable objects should not be left in the cloakrooms/changing room as APEEEL2 will not be held responsible for any loss.
 
 
 
ACCOMPANIMENT SERVICE​​​​​​

Lux 2 Waiting area is on the ground floor of the Primary building and in the Cafeteria in the Administration building and waiting area nursery building. Parents can also stay in the Sports Building Hall after 16h30.

If an activity does not begin immediately after the school lessons ends (activity at 15:00 on Tuesday, for example), the primary school students who are not picked up by their parents and do not go to the CPE, must go to the ground floor in the Primary Building Waiting area until the activity starts.

We draw your attention to the fact that children will go alone to the location of their activity and will be, during that time, under the responsibility of their parents.

 

In Luxembourg every pupil is first of all covered by the national accidents insurance system, the AAA. The accidents insurance policies taken out by the school are  only complementary  to the overall scheme. So, be it a pupil of Lux 1 or Lux 2, the AAA is the first insurance policy to be applied, followed possibly by the school’s one.

 

Normal procedure in the case of an accident within school premises:
 

1.         Go to the school infirmary and get the AAA accident declaration form;

2.         at the ER, declare that the accident happened within the school premises and hand out the form received at the infirmary; the hospital and the doctors will thus know that they have to send invoices directly to the AAA and will not send invoices or payment reminders to the parents;

3.         fill out the AAA accident declaration form with the doctor and take it back to the school infirmary;

4.         if AAA accepts the fact that it is an accident, invoices will automatically and entirely be paid by them; if it doesn’t, parents will have to pay the invoices and be then reimbursed by the “Caisse de Maladie” at first, and subsequently by the subsidiary insurances.

 

NB:

  • If it’s the Caisse de Maladie of the EU, don’t forget to cross out the box  « accident » in the reimbursement form, because the school will thus receive a calculation of what has been actually reimbursed. If it’s not entirely reimbursed, the school will forward the calculation to the School insurance company (jointly with the accident declarations).

 

  • If it’s the Caisse CNS, please send the reimbursement query to CNS and give the receipt to the infirmary, so that it can be forwarded to the School insurance company (jointly with the accident declarations).

The number and nature of activities should be scaled to maturity and temperament of children.

Kindergarten: emphasise creativity (e. g. art) and physicality (e. g. dance).

Early primary: emphasise physical development by uncomplicated, non-competitive sports.

Middle primary: Aim to provide activities which are not available in school at similar level (e. g. start music instrument lessons).

Later primary: Team sports will foster social skills, discipline. Fine motor skills can be developed through arts courses. Ensure some time is left for homework!

Early secondary: Build confidence through mastery of activities, without necessarily putting pressure to be the best. Ensure adequate time to cope with growing homework load.

Middle secondary: Encourage independent choices. Avoid burnout. Ensure time for socialising. Promote volunteering.
